Director of Administration & Finance
Job Title: Admin & Finance Officer
Grade: B
Accountable To: Director General
Job Purpose:
The Finance and Administration director is responsible for providing consistent, transparent, and accountable, financial and administrative services in order to ensure effective, efficient and accurate financial and administrative operations at the ministry. The director of Finance and Administration must comply with financial administration regulations of the government, and must accept accounting principles and financial policies and procedures at the ministry.
Duties and Responsibilities
- Organize and produce annual financial and administrative report
- Ensure that all financial transactions at the Ministry are consistent, transparent, and accountable.
- Print and distribute monthly financial reports
- Payment of salaries to all the Ministry’s employees
- Ensure that appropriate and timely payments are made to staff for the work they have done. This includes authorizing timesheets/overtime and leave applications
- Train and inform on financial policies and procedures
- Develop a financial plan and related budget for inclusion and annual budget
- Monitor all financing and administration issues
- Based on the payroll ensure the schedule for annual leave and job rotation is followed
- Ensures that all administrative procedures are defined and implemented
- Responsible of all logistic and transport service for the ministry.
- Provide administrative support in order to ensure effective and efficient office operations
- Manage all filling systems and archives.
- Ensure that all office furniture and equipment’s are inventoried and maintained.
- Receive and distribute stationery and equipment’s.
- Supervise all administrative and support staff of the ministry at central level office.
- Ensure that all accounts are made available for internal auditor.
- Monitor and oversees all tenders.
Knowledge, Skills and Abilities
- Admin and finance degree or equivalent.
- Minimum three years (3) working experience in admin and finance.
- Experience in Project financing, planning and appraisal
- Ability to work, manage and lead a multi-disciplinary team.
- Excellent written and verbal communication skills.
- Excellent problem-solving skills
- Excellent Computer skills.
